Guidelines for Presenters

Lectures

The duration of lecture presentations is 15 minutes, followed by 3-5 minutes for questions. The presentation schedule will be strictly enforced by each session chair. They will be available in the Maxwell Theatre before your session. Presenters should introduce themselves to the chair at this time, and ensure that all necessary presentation materials are in place well before the session starts (also see below).

Speaker Biography and Presentation File

To aid speaker introduction by the session chair, please complete the speaker biography form available via your Dashboard on this website. Please ensure that you meet your conference chair in advance of your session to ensure that your presentation is available on the conference laptop. Emailing presentations in advance would be apprecaited.

Available Equipment

A pdf version of your slides can be displayed via Adobe software on a PC provided at the venue. Alternatively, your slides can be displayed via Microsoft Powerpoint. In all cases, bring a file of your presentation with you to the session on a USB storage device. The PC will be linked to a data projector. Voice projection equipment will be provided.

Suggestions for Presenters Giving Oral Presentations

  • Please ensure that the duration of your presentation has been carefully checked.
  • Find an opportunity in advance of your presentation to familiarize yourself with the venue and podium environment.
  • At least 15 minutes before your session starts, verify that your presentation file is present on the hard drive of the venue PC, and that it is complete and accurate.
  • A member of the conference committee will also be on hand to help.
  • Consider including slide page numbering and/or a presentation thermometer to indicate the progress of the presentation.

Suggestions for Presenters Giving Mini-Presentations on their Posters

For those wishing to avail of this opportunity, please

  • email one slide in advance to the conference organisers. The slides will be automatically timed.
  • You will have 60-90 seconds to make your presentation, it should focus on
    • topic area of your work
    • the major issue you are facing
    • your achievement or discovery

Poster Presentations

A board size no greater than 200 cm x 200 cm will be provided for displaying posters. It will be adequate to display a standard A1 poster (84.1 cm x 59.8 cm) in portrait. Aim to use a 25pt font. Presenters should mount their poster on an available board well before the beginning of the first poster session. Fasteners will be provided at the venue in order to secure the poster to the board. Posters will be mounted for the full duration of the conference and presenters should attend their poster for the duration of the poster session, which includes a refreshment break in each case. You are encouraged to prepare a 3 or 4 minute informal presentation of the poster for attendees who request it.
